Do you organize your email inbox?

organizing your email inbox - sorted out emails on inboxes

We went through a change in email provider a few weeks ago, and I learned that I am not that organized in terms of received-emails. I don’t archive them, or put them in folders, and worst I don’t delete them either. They just stay in my inbox until I need them for reference. So, when we finally did the move I only saved a few, from a certain date, and lost a bunch of them. I just cross my fingers that I don’t need those old emails again. I heard a similar discussion on the radio, on my way to work today. They even talked about (jokingly) getting experts to help people who hoard emails. So, do you hoard emails? Do you clean up your inbox? How often? Or are you the type who is so well organized that have emails sorted out in folders too?

I am organized offline so of course I am organized here online. First I have 7 email addresses. And I have folders for 6 of them. I may not clear each address Each day , but I do house clean All the time, especially my My Lot email address. I have many friends who start posts. If I didn't delete each mail after I read them? I would have run out of room. I also clear out my spam and trash folders too.

Somehow I get that from you sarah. When I think of you, I picture a person who has all her s..., I mean act, together that even with emails you are organized. Like what I alluded in previous discussions, you're just in a different level-plain Sarah. One day, I'll get there too. Thanks.

I've never even heard of organizing emails until I read this discussion. I never organize my mails but I do delete the unimportant ones. I used to hoard and that's because I see no point in deleting them, but then I learned that there's what you call memory capacity, lol. I was such an idiot then, but now I've learned. Now this makes me want to learn about organizing my mails. Thanks.

You shoud toniganzon! I mean you should organize your emails. I also know a little bit of memory capacity, but in reality it is just an excuse to let the inbox grow. And when you really need to organize them, it turns out into a bigger job than it is because you have bigger memory capacity. Anyway, goodluck!

I try to be organised but I also need some helpas I do not retrieve certain emails fast enough. I do have folders but do not alwys put the emails into the folders. It is all such a chore but should be done so that I can appear to be more efficient. I also get that message asking me if I want to archivemy emails and I just do not know what to say I have not worked out if it is a good thing or a bad thing but hopefully, a response from someone to this post will assist me.

I forgot to say that I do double delete after looking at them again. So this does help to keep it under control and I do check the deleted items too.

Hello cynthiann. I know that you also have a BB (mentioned in previous discussions). I recently got mine which I thought could help me with organizing my emails. I get it on my phone which is supposedly faster than opening up the computer, but I still find that I don't retrieve all of them fast enough.

Hahahaha! I just cleaned my yahoo email a couple of hours ago.. It was not really that bad, but I did found email messages that were not important at all. With my work email though, I'm perfectly organized, and I need to be, because there are a lot of times that I would need to go back and check my email to verify a report or something. I organize my mail according to the audit engagement, that way it would be easier for me to look for a specific email message when there is a need to do it.

I think it is all relative. When you say 'it wasn't really that bad', how much time did you spend cleaning your email? The problem with it is that when you don't do it for a certain time, the time to clean it expands exponentially. Thanks for dropping by.

I don't think so guys. I have several email accounts and sadly i never cleaned or managed them. My inbox fully loaded by email subscribeds and some spams. Have a nice day.

I guess that is already one way of organizing emails. By having several email accounts. So that you will have one for pure personal stuff, one for business, one to receive junk mail, etc. Thanks icecubic. Thanks Hellen813.

Hello hushi22. That's one of the reason too why I let my inbox grow, I'm afraid I might just delete something I will need in the future. And PSTordilla is right. Wanting and actually doing it is two different things. Sometimes it just becomes a chore. Hopefully babyjoyllanto gets the in the mood to organizing them. Welcome to myLot. Thank you all!

I don't organize my email inboxes. One of my yahoo accounts have 30,000 mails and 800+ spam mails. It's hard to delete now because there are so many emails and the loading of a message takes too long so the options are either to: delete one by one or delete them all. To sort the emails is difficult if you have lots of email so I don't delete them. And I keep them for future reference because sometimes I encounter websites that I have been registered but already forgot the login info so I dig up the inbox if there are related emails coming from that certain websites. Just like what happened to my Multiply account. I have deleted all the emails in my inbox that I never retrieved my login info and I can never open my account again.

That's one of the dangers of not keeping up to date with your email accounts. You tend to forget a few websites, and log-in information. And if you don't do something about it immediately, it grows out of control. Just like your yahoo account. Thanks for dropping by.

Hello adhyz82. I think that is the most common reason. It makes it easier when you go looking for something. Thank goodness for file folders. Thanks for the response.

I definitely don't think that I am a hoarder of emails. I will keep those that are important, but most of the emails that I receive are junk mail and when I get them I will give them a cursory glance and after that I will put them into the deleted items box. I will typically wait to permanently delete any emails that I get until there are about 1000 in there just to make sure that I won't need any of the junk mail that I've gotten.

I guess putting them in the delete folder is a way of organization. Even if most of the emails that go there are just junk or spam. As long as they don't stay on the 'inbox' folder, then at least you're a bit organized. Thanks Dorann.

Not really, because I have two e-mail accounts...one for school and other stuff important...and one which I use for sites, facebook and such not important things. I don't have so many e-mails to organise so i just leave them like that. I delete a lot of e-mails though, because sometimes they don't go to the junk folder :( dunno why

Some people think (including me) having a lot of email accounts is a way of organizing emails, important and the not-so-important ones. But I think you got it right pcserver, I think 2 will do. One for really important ones, and the other for social networking. Thanks for dropping by.

Hello highschoolrazors8547. I guess there is suca a thing as 'too organized'. And if you clean it up daily, there is really no need of organizing emails in inboxes. Thanks for the response.

Do I hoard emails? Oh my! I currently have 40,000+ emails in my Outlook Express! I am well organized with them, though, all in folders to match friends, groups, topics, and so forth! But, good grief, I do need to do a fall cleaning!

40,000?! That's a lot. Even if you organize them. I imagine the fall cleaning is really a must for you. But it's great that you even have them sorted out for topics and groups. Thanks.

When your email account has a big memory, I guess you could leave your inbox 'disorganized' for quite a long time. Even for 5 years. But sooner or later, I'm sure you'd have to deal with cleaning some of it off. Thanks majorroald!

Well personally for me it becomes quite impossible to try and organize 800+ emails from mostly web sites and login conformations. If you use Facebook and even Formspring you'll see that number shoot up even more. For this reason I dont really use Email rather than just Facebook mail for messaging. Its just plain easier.

You're right. It is just a matter of choice. Like what you did, you can just use the features of some social networking sites, like FB, to get and send emails. And let the site do all the organizing for you. Grea idea! Thanks.

My Thunderbird is pretty chaotic. I have several email account that I use for variety of things. I do have several subfolders, but I only use them when I remember about I think I should probably do something about it, be more organised and all...

Everybody seems to want to be more organized in their email. I could see it becoming chaotic if we just let it grow without any attempt of curbing them. The problem is the time. Thanks for dropping by.

I used to segregate my email messages in my inbox weekly. I made folders for different sites, quotes, personal, family messages. I usually deletes those chained letters. I want my messages to be in an organize way, as always.

I have learned from the past that saving important information with emails is a big must. I once long a go use to hoard the emails until I made a change and then lost it all. It was such a difficult time to try and keep up. So now I do copy and paste important emails to word documents. As I do not ever want to be in this predicament I once put myself in.

Actually, one of the reasons I am hesitant in deleting emails is that I've already been burned in the past. Some decisions done at work based on email exchanges. And then when it was time to explain our actions I could not come up with the email to prove that it wasn't my decision(fault). But yes, there should be better ways than just leaving it on email inboxes. Thanks!

Hello smartrich22. Having such a filter is I guess a form of organization. Just getting rid of the junk emails is already a big help. Thanks for the response.
