Stressed out being a purchaser in a company

I am a purchaser in my work. My responsibility is to acquire everything the company needs. So I have to find suppliers and deal with them to accommodate the needs of my employer. Now I have this dilemma that my office needs supplies that are urgent and I am supposed to find it ASAP. It really stresses me out when I am forced to procure them in a hurry. Such as the case I recently experienced. We purchase this certain item on a regular basis but our supplier said it was already phased out and so we tried to find other brand similar to the item. I already have them checked if it will work and they said go. So I ordered 3 immediately to another supplier I have then promised to purchased 7 more of those the next week. I have prepared the check for them and in the afternoon I paid them so they can deliver the next day. After I deposited the check I was informed that the item does not meet their requirement. I was disgusted since the check was deposited already. Now I have to negotiate with the supplier and they agreed not to deliver the item but they could not refund the money anymore they agreed to have other items be bought instead. This is the first time it happened on me. Now they are ordering me to get another item instead from another supplier as the item they needed was now available but with a higher specs and price. I was able to negotiate a lower price with them but I have to pay them cash for it. Now I have to make a cash advance and bring the money to them. It is just frustrating that this happens in my work.

Yeah there are times that I would just like to quit this responsibility and assign someone to take this job away from me. They would push me to deliver what they need in a nick of time and when you fail they put blame on you being too slow and now that I delivered in time my reputation with the supplier was put at stake because of this incident. I do not know where I would put myself in this kind of situation. Although my boss understand my situation but we were put in a bad light after this.

@rsa101 take it one lesson at a time and my advice is for you to have a positive approach. It is a tedious job and don't let pressure get you down. Smile, you cannot go wrong with a smile.

So someone within your company said that the item you were about to order would work, you ordered said item and then the same person said that they were wrong, that it wouldn't work?
I'm sorry. That would be very stressful. I hope you can get it sorted.

Correct he said anything with this specs will work with them and he went to the store and chose that brand and model to be bought. I just followed them and ordered. Now I am in a bad light with the supplier since they do not know what happened why I suddenly back out. It is my reputation that was at stake since I am the one who faced and negotiated them.

what the heck? that makes no sense they'd not refund yer money. seems some shady characters all 'round. i hope yer able to find ones that're more reputable'n the future. i presume the latter company 'tis cash only coz they've gotten stiffed too many times? don't envy ya yer job one iota.

I cannot blame the supplier since it was a done deal on their part I deposited the check already with them. Someone in the office said to stop payment right after I finished depositing the money with the supplier. The supplier offered change items to buy but no more refund. I think it was our fault in here. We could have stopped the payment but it was too late since the order was made right after I deposited the check with them. If the order was made before I deposited it, damage control could have been less since I can just inform the supplier that were cancelling the order from them.

@crazyhorseladycx Oh yeah I had sleepless nights on this one I am involved with. Although I do not think I am the guilty ones in here. I am just following orders from their recommendations to me and act on it. They were just too late to stop me from executing the order. But still I feel bad that my reputation is affected with the suppliers. They are my regular suppliers already and I have established rapport with them and this happens. Although the suppliers are still amiable with me I just feel ashamed about this whole mess with them. I am trying to establish myself with them as much as possible and try to look forward soon we can repair this damage soon.

@Nakitakona There are times that you are trying to be careful so you are cautious trying to slow things you get accused of not doing anything to expedite their needs. When you do it fast and this happens you get your reputation with the suppliers because we made a rush decision and I am the one who is to be blamed again for executing it. There are times I really do not know where I will place myself in this situation.
