When I was working as a customer service representative its always been the part of my day to deal with angry customer sometimes annoying one. Some of the customers complain were invalid, they were just complaining to add problem others had valid reason to complain. I have one customer that even in the day off I still make it to the point to help them out at once. they are customers who know how to talk properly to a representative and how to ask help patiently from the company, you know what? this kind of customer is the one I enjoy and help all the way because I want them to feel satisfied at shorter period of time. While annoying customer, I let them wait to have more time for themselves to think over their complain and be more relaxed to ask again.
Some tips to handle customers at work:
1. Great them first with all smile so that they will fell welcome
2. Ask their name and never forget it, mention their name once in a while throughout the conversation to let them feel important
3. Listen to their complain attentively, let them voice out all anger they have inside and later on when they are done you will see calmness in there personality.
4. When they are ready to listen, explain to them that your company is willing to help and that every customers concerns is being addressed properly.
5. Make them feel that you can help them out and will never turn over them to any other person in-charge ( calling for support will not be advisable if a customer is very angry, they are looking for a certain representative of the company that can handle their case at once )
6. If the case cannot be decided at once, give them specific time to get informed either to call them or email as long as you keep your promise on time.
7. After each coversation, do not forget to thank the customer and ask if they have another concern to deal with ( even if you're not interested to hear further more still ask them )
8. Being direct to the point helps a lot, so do not use excuses because in the end you will be the one to blame if something happens.
Hope this can help you, by the way comments and additional information is very much welcome here .
Cheers!!
